How Vivid Images collects, uses, shares and protects information across ordering, design, production and customer programs.

Last updated September 19, 2026

Information we collect

We collect information you provide, including name, company, addresses, email, phone, account credentials, order and quote details, project messages, proof decisions, artwork, photographs and support requests. We also receive transaction status and payment tokens from payment providers; Vivid Images does not need to store full payment-card numbers.

When you use the website, servers and service providers may collect device, browser, IP address, referring page, cookies, session identifiers and activity information needed for security, operation, analytics and remembering preferences.

How we use information

  • Configure, quote, process, produce, stage, deliver and support orders.
  • Create designs, proofs and production files and record approvals.
  • Authenticate accounts, prevent fraud and protect customers and systems.
  • Send transactional email or text updates, respond to requests and provide customer support.
  • Operate rewards, wholesale, corporate and reseller programs when applicable.
  • Improve product configuration, capacity planning, quality and website experience.
  • Meet accounting, tax, dispute, audit and legal obligations.

When we share information

We share only what is reasonably needed with service providers that support payments, hosting, email, messaging, analytics, shipping, design, production and security. We may disclose information when required by law, to protect rights or safety, in a business transaction, or with your direction. We do not sell mobile opt-in information, and SMS consent and phone numbers are not shared with third parties for their independent marketing.

Artwork, public links and organization accounts

Artwork and proofs may be available through purpose-specific review links. Treat those links as confidential. After a review decision, the link may become read-only while the project history remains available. Corporate and reseller workspaces are separated by organization permissions; authorized organization users may see assets and orders belonging to that organization.

Retention and security

We retain records for as long as reasonably needed for production, reorders, customer service, accounting, disputes and legal requirements. Retention varies by record type. We use administrative, technical and physical safeguards appropriate to the information, but no internet transmission or storage system can be guaranteed completely secure.

Your choices

You may update many account details through your profile and can contact us to request access, correction or deletion where applicable. Some records must be retained for completed transactions, legal obligations, fraud prevention or legitimate business records. Browser settings can restrict cookies, but essential account and cart functions may then be unavailable. Transactional messages necessary to complete an order are separate from optional marketing.

SMS messaging

If you opt in, messages may include proof, scheduling, pickup, payment and order updates. Frequency varies by project. Message and data rates may apply. Reply STOP to opt out and HELP for assistance, or contact us. Consent to marketing texts is not a condition of purchase.

Children

The website is intended for customers able to enter a commercial transaction and is not directed to children under 13. Contact us if you believe a child provided personal information without appropriate permission.

Changes to this policy

We may update this policy as services or legal requirements change. The current version and update date will remain posted here. Material changes will be communicated when required.
